Executive (Admin & IT) - Central | 5 Days

About the Role

We are seeking a proactive and detail-oriented Executive (Admin & IT) to support the smooth day-to-day operations of our office. This role combines office administration, facilities coordination, employee support, and basic IT administration responsibilities.

The ideal candidate is highly organized, service-oriented, and comfortable handling both administrative tasks and first-level IT support. You will play a key role in ensuring an efficient workplace environment while supporting employees across various operational and technology-related needs.

Working Location: Shenton Way, Singapore

Working Hours: Monday - Friday, 9:00AM - 5:00PM

Key Responsibilities

Administrative & Office Operations (70%)

• Manage front desk duties, including visitors, guest registrations, access cards, and incoming enquiries.

• Coordinate hotel bookings, courier services, and office logistics.

• Oversee office facilities, cleanliness, pantry supplies, stationery, and vendor management.

• Process purchase requests and verify invoices for payment processing.

• Administer company vehicle matters, including servicing, repairs, renewals, and record management.

• Coordinate office maintenance, repairs, and workplace services.

• Support training administration, e-learning coordination, and reporting.

• Organize company events, employee engagement activities, and corporate initiatives.

• Manage office correspondence, printing requirements, festive gifts, and general administrative support.

• Assist with workplace safety activities, including fire drills and emergency preparedness.

IT Support & Administration (30%)

• Provide first-level technical support for laptops, printers, mobile devices, and office software.

• Support Microsoft Office and SharePoint users.

• Manage IT asset inventory, documentation, and software licenses.

• Assist with cybersecurity, data protection, and IT compliance activities.

• Support IT governance, policy administration, and operational processes.

• Coordinate IT procurement, purchase requests, and vendor follow-up.

• Support IT training initiatives and user awareness programs.

• Assist with day-to-day IT infrastructure and systems administration.
  

Requirements

• Diploma in Business Administration, Information Technology, or a related discipline.

• Minimum 2 years of experience in office administration, facilities management, or related functions.

• Basic knowledge of IT support, office technology, and asset management.

• Proficient in Microsoft Office applications (Excel, Word, PowerPoint) and familiar with SharePoint.

• Strong organizational, coordination, and time management skills.

• Excellent attention to detail with accurate record-keeping abilities.

• Good communication and interpersonal skills.

• Ability to manage multiple priorities and work independently.

• Proactive, adaptable, and service-oriented approach.

• Positive attitude with a willingness to support both operational and technical needs.
